    Enrollment Operations Specialist

    Job Description
    Position Summary:
    The Enrollment Operations Specialist will provide clerical assistance and administrative support to the Director of Enrollment Operations and staff in support of Enrollment Services recruitment efforts including undergraduate, graduate and international admissions, adult continuing education, and Student Financial Services.

    Education/Experience:
    Required: A high school diploma or equivalent is required. Two (2) years of general office/clerical experience in a professional setting including experience with computer software and applications is required. 

    Preferred: Some college coursework is preferred.  A bachelor’s degree is strongly preferred. Familiarity with and experience in higher education or admissions processes is preferred.

    A suitable combination of education and experience may be substituted for minimum requirements.

    Essential Functions:
    • Demonstrate an attitude and behavior that reflects the values and mission of the department and University.
    • Coordinate the daily communication flow to prospective undergraduate, graduate and international students, including, but not limited to preparing print communications for mailing.
    • Serve as primary telephone and general email contact for Enrollment Services; arrange for coverage of admissions phone and email when absent to ensure continuous coverage; provide accurate information to callers or emailers and/or direct inquiries to appropriate Enrollment Services staff; maintain professional demeanor and adhere to principles of customer service.
    • Acquire and maintain a familiarity and working knowledge of the University’s ERP, Banner, and CRM, Connect, to perform functions in support of enrollment operations processes; participate in training and research to further knowledge of systems.
    • Assist with data entry and quality control of data maintenance in Campus Management Connect, including working system generated reports as needed to ensure data accuracy between both Connect and Banner.
    • Process, scan and index all documents pertaining to the application process; serve as document steward and archive manager.
    • Build all campus visit events in the Connect CRM.
    • Create processes and procedures for data management covering enrollment operations functions; provide reports and information as needed.
    • Responsible for processing daily mail including marking documents received into the Connect CRM.
    • Responsible for receipt and delivery of all enrollment fees received via mail to Student Financial Services.
    • Update all applicant test scores.
    • Provide administrative support to Enrollment Operations including, but not limited to, supply inventory, ship admissions materials to counselors as needed, draft correspondence, fax and copy documents, general clerical duties.
    • Other duties as assigned.
    Knowledge/Skills/Abilities:
    • Ability to learn and use computer software including Ellucian Banner, Campus Management Connect and related ERP/CRM programs and applications.
    • Excellent computer skills including technical fluency in MS Office Suite, Internet searches, etc.
    • Clear, correct and effective communication using the English language.
    • Proofreading and editing skills.
    • Strong organizational skills and attention to detail.
    • Ability to work independently and within a team environment.
    • Must handle confidential information in a discreet manner.
    • Must have ability to maintain customer service orientation in fast-paced, stressful environment.
    • Must be able to prioritize tasks and manage competing tasks effectively.
    The anticipated range for this position is $12.73 to $14.95 hourly.
